Privacy and cookies

What we collect when you use topclosers.club, why, and your rights. In plain English.

Who we are

topclosers.club is run by Frederick Mitchell ("Fred"), a sole trader based in Greece. Fred is the "data controller" for the personal data described here, which means he decides how it's used and is responsible for protecting it.

The short version

  • We collect what we need to run your account, your trial and the AI tools, and nothing more.
  • We don't sell your data, we don't share it with advertisers, and we don't add you to a marketing list.
  • This website sets no cookies, and our analytics don't identify you.
  • You can see, change or delete your data at any time. Just email us.

Your account

When you start a free trial, we keep your name and email address so you can log in to the members' area, along with your plan and the status of your subscription. Login is handled by Supabase (servers in the EU), with a 6-digit code sent to your email. Your browser stores a small login token so you stay logged in; this is strictly necessary for the members' area and isn't used for tracking.

If you email us, we keep that correspondence.

Payments

Subscriptions are sold by Stripe as merchant of record. When you start a trial or pay, Stripe collects your name, email, card details and billing country to take payment, charge the right VAT, send your receipts and prevent fraud, under its own privacy policy. We see your name, email and the status of your subscription, never your card details.

AI tools

When you use an AI tool, what you type in is sent to Anthropic, which provides the AI, to produce your answer. Unless you save it to a deal (see below), we don't store what you type, only how many times you've used each tool (to apply your plan's limits). If you rate an answer or leave a comment, we keep that. If you tick "share this example", we keep what you typed and the answer so Fred can improve the tools; you can ask us to delete it at any time. Anthropic doesn't use what you type to train its AI. Don't put personal or confidential information about your prospects into the tools.

Your profile. If you fill in your profile (what you sell, who you sell to, your sales cycle, your proof), we store it so every tool can use it, and it's sent to Anthropic with each request. Only you can see it. You can change or delete it at any time on your profile page. If you ask the tools to fill it in from your website, the AI reads your website to do it.

Your deals. If you save a tool's answer to a deal, we store the deal (what you've told us about that prospect) and each answer on it, so the next tool you run on that deal already knows the story. Only you can see your deals. You can edit or delete any deal, with all its answers, at any time. Keep personal details about prospects to what you need for the deal.

Web research. If you choose web research in a tool, the AI searches the web using the details you've given, such as a prospect's name and company, and reads the pages it finds. Searches are run through Anthropic.

Our email list

If you ask for Fred's sales notes, we keep your email address and send you practical tips, new guides and news about topclosers.club. Every email has an unsubscribe link, or just reply and ask. If you start signing up for a trial but don't finish, we keep the email you entered so you don't lose your place and so we can show you relevant adverts on other sites (for example LinkedIn). We don't send those addresses marketing emails unless you've asked for them. Ask us at any time and we'll delete it.

Free trials and payment cards

There's one free trial per person. To stop repeat trials, we keep the "fingerprint" Stripe gives your card (a code that identifies the card, not the card number), and check new trials against it.

If Fred has contacted you

Fred contacts salespeople and founders he thinks the tools could help, personally, usually through LinkedIn. To keep track of who he's contacted, he keeps your name, the link to your public LinkedIn profile, the dates and status of his messages, and a personal trial link for you. That's all: we don't buy lists or scrape data, and nothing is automated.

We do this because we have a legitimate interest in telling people about something that may be useful to them in their work. If you'd rather not hear from Fred again, just say so in a reply or email us, and we'll stop and delete your details. If you don't start a trial, we delete your details within 12 months of the last message.

Telegram

We run a Telegram channel (@topclosersclub), a community group and a bot (@topclosersclubbot). If you press Start in the bot, we keep your Telegram user ID, username, first name and language, when you started it and which advert or link you came from, so we know which adverts work. We don't send you messages unless you write to the bot first. If you press Start but don't start a free trial, the bot sends you at most two reminders, about 2 hours and about a day later; send /stop and it won't message you again. To know whether you've started a trial, the trial link the bot gives you is personal to you. What you post in the channel comments or the community can be seen by everyone in it, and Telegram's own privacy policy applies to your use of Telegram.

Why we use your data, and our legal basis

  • To provide what you signed up for (your account, trial, subscription, the AI tools and your profile): this is needed for our agreement with you (GDPR Article 6(1)(b)).
  • To keep records of payments and VAT, as the law requires (Article 6(1)(c)).
  • To understand how the website is used, improve the tools, prevent abuse (including repeat free trials), follow up unfinished sign-ups, measure our adverts (including on Telegram) and contact people the tools could help: our legitimate interests (Article 6(1)(f)), always balanced against yours.
  • To send you anything that isn't about your account: only with your consent (Article 6(1)(a)), which you can withdraw at any time.

Who else handles your data

We use a small number of trusted services to run topclosers.club. They only process your data on our instructions, or as independent controllers under their own privacy policies (Stripe for payments).

  • Applications from our old waitlist: kept for up to 12 months from when you applied, then deleted.

Your rights

Under GDPR you have the right to:

  • receive it in a portable format;
  • withdraw your consent at any time, where we rely on it.

Email info@topclosers.club and we'll respond within one month.

If you're unhappy with how we've handled your data, you can complain to the Hellenic Data Protection Authority (www.dpa.gr) or the data protection authority in the country where you live.

Cookies

Cookies are small files a website saves in your browser.

This website itself sets no cookies. Our fonts are stored on our own server, so nothing is loaded from Google or other third parties when you browse. In the members' area, your browser stores a login token so you stay logged in (see "Your account").

Checkout happens on Stripe's own page, which uses the cookies it needs to take payment securely and prevent fraud. See Stripe's privacy policy.

Analytics: we use Cloudflare Web Analytics to understand how many people visit, which pages they read, and roughly where they come from (for example the referring website, country and type of device). It sets no cookies, doesn't track you across other websites, and doesn't identify you personally. We use it because we have a legitimate interest in knowing how the website is used so we can improve it.

Links to other sites, such as LinkedIn, are covered by those sites' own privacy policies.
